Your business is not a personal WhatsApp account
Shared inbox, assignment, audit trails: what changes when the company owns the number instead of a founder's phone.
Field notes · Built by Arche Axon
A business number that lives on a founder's phone is a single point of failure with a battery life. The customer does not care whose phone it is until the founder is asleep, the phone is off, and the order goes to someone who cannot see it.
What changes when the company owns the number
- 01Every conversation is visible to the people you choose. Assignment replaces 'forwarding to Brian'.
- 02History survives staff changes. The relationship with the customer belongs to the business, not to whoever's SIM it was.
- 03Actions carry actors. When a refund happens, the audit event records who did it, which makes trust inside the team possible without surveillance.
- 04Coverage becomes a schedule, not a hope. Unassigned-conversation thresholds exist precisely because 'someone will check the phone' is not a process.
The migration fear, addressed
Moving off a personal number sounds like losing your chat history. In practice the WhatsApp Business API attaches the number to the business, and the CRM becomes the memory: customers, orders, and conversations in one place. The chat is the interface, not the database.
The founder's phone is not an operations system. It just looks like one because it is always nearby.
