Workflow guide

Vendale vs spreadsheets as a CRM

A flexible sheet. Or a shared way of working.

01 / Start with fit

Two routes.
Different priorities.

Spreadsheets are useful, adaptable tools, not a mistake to outgrow on a schedule. This guide considers sheets maintained separately from conversations, without a custom integration. Connected spreadsheet systems can behave differently.

Evaluate Vendale when…

The team needs defined customer, order and ticket records with shared ownership, rather than a new set of columns for each workflow.

Consider spreadsheets as a crm when…

Your process changes frequently, calculations are central to the work, or a small team can reliably maintain a simple shared file.

02 / Side by side

The differences that matter.

No scores. No blanket crosses.
Read the trade-off behind each row.

Record structure

Vendale

Customer, order, product and ticket records have defined screens and relationships.[5]

Spreadsheets as a CRM

You choose the columns, relationships and conventions. That flexibility also needs maintenance.

Ask in the demo: Does everyone record the same information in the same way?

Conversation context

Vendale

The inbox and customer workspace bring conversation handling into the CRM workflow.[5]

Spreadsheets as a CRM

In an unconnected sheet, context must be copied or linked from the messaging system.

Ask in the demo: Can a teammate trace a row back to the conversation it came from?

Work ownership

Vendale

Assignments, statuses, tasks and tickets structure the team's operational work.[5]

Spreadsheets as a CRM

An owner column and a shared review routine can work well if the team keeps them current.

Ask in the demo: What prevents an urgent row from being missed at handoff?

Analysis & flexibility

Vendale

Built-in workspace views follow the product's data model. Confirm any reporting or export requirement in a pilot.[5]

Spreadsheets as a CRM

Sheets are a strong fit for ad hoc calculations, scenario planning and quickly changing layouts.

Ask in the demo: Which reports would you still need outside the CRM?

Moving the data

Vendale

A migration needs field mapping, duplicate review and an agreed import method. Bulk migration is not promised here.

Spreadsheets as a CRM

Keeping the current file avoids migration effort, but does not resolve existing duplicate or inconsistent records.

Ask in the demo: Can you validate a small sample before moving the full customer list?

Do not replace a useful spreadsheet

Keep sheets for financial scenarios, analysis and genuinely unusual processes. A CRM does not have to replace every file to improve the team's operational work.

Clean the process before migrating it

Choose the owner of each record, agree required fields and resolve duplicate customers first. A new interface will not correct inconsistent source data by itself.

03 / Your evaluation

Bring your own working day.

A polished demo is a start. A test using your own workflow is what makes the decision useful.

  1. 01

Choose one source of truth for customers and orders. Identify duplicate records and fields with conflicting definitions.

  2. 02

Map a small sample to the new workflow. Verify relationships, ownership and the reports the team actually needs.

  3. 03

Keep a dated backup and a rollback plan. Stop parallel editing only after the team has accepted the new process.

Before you switch

Worth asking.

Can I import my entire spreadsheet today?

Do not assume a universal one-click import. Share the format and required fields during onboarding, agree the supported method and test a small sample first.

Does this mean spreadsheets are insecure?

No. Security depends on access controls, sharing, storage and process in either system. Compare the actual configuration rather than the product category.

Can we keep using spreadsheets alongside Vendale?

Yes as a working approach, but agree which system owns each record. Confirm the particular export or integration you need before committing; this guide does not promise a live connector.

A workflow guide, not a blanket feature claim about Excel, Google Sheets or their integrations. Those products can support collaboration, permissions and automation; configuration matters.
